Suggested Kit List
  • Team uniform, blouses/shirts, polished shoes, shoe-polish wipes, tie (as appropriate)
  • Tee-shirts/polo shirts, shorts, sandals/walking shoes
  • Long sleeved tops/long trousers for evening to avoid mosquito bites
  • Lightweight jumper/cardigan for evenings
  • Name badge
  • Underwear
  • Laundry washing bag (to keep smalls together in the wash)
  • Wash bag, deodorants etc, hair brush etc
  • Toiletries/medication etc
  • Wet wipes
  • Neck pillow (for flight and also for hard seating)
  • Earplugs
  • Beach towel and beachwear
  • Camera, batteries, leads and charger, spare memory card, tripod
  • Head torch
  • Water bottle (at least 1 litre size). n.b. only drink bottled water; never put ice in drinks.

GSE Team Members Requirements:
  • Aged between 25-35 and be in employment
  • Able to take one month off from work
  • Able to get travel insurance to meet RI requirements
  • Fully supported by your manager/team leader at work
  • Be prepared to pay for own insurance, medical and vaccinations and personal gifts for host families
  • Willing to engage fully engage in orientation and team building activities prior to the exchange itself (12 hours or more)
  • Prepared to deliver at least 5 presentations to District 1100 Rotary Clubs, including at District 1100 Conference.
  • We will be looking for intelligence, humour, willingness to learn, ability to work as part of a team.

Documents required by Rotary at least 45 days prior to departure

Send into Rotary Foundation and the Travel Service more than 45 days before departure:
a. Team Leader application completed with Leader’s signature and the endorsement signatures of the current DRFC, the DG and the GSE Chair
b. Team Member applications completed with Members’ signatures and the endorsement signatures of the current DRFC, the DG and the GSE Chair
c. Completed insurance certificates (for Team Leader and all Team Members) with the name and policy number(s) of the insurance company, with the correct dates of coverage encompassing the dates of the GSE, signed and dated by the Leader or Member
d. Completed medical insurance and health certificates (for Team Leader and all Team Members) signed by a physician
e. Completed GSE Team Travel Request Form (with the names of the entire team as they appear on their passports) sent directly to the Rotary International Travel Service (RITS) at RITSOnline@rotary.org. Please copy me on the email that you send directly to RITS. The RITS Travel Request form must be typed and not handwritten. This will help expedite the travel reservation process since the travel agents will be able to identify each of the travellers with the correct spelling of their names. This document is due no later than 45 days before the intended travel date, and must be submitted electronically only.
f. If your team is required to obtain entry visas for the country(s) they will be visiting, please immediately begin preparations for obtaining the visas.

Please remember to send directly to the Host District the Biographical Data Forms with pictures of all the team members so that they may prepare meaningful vocational experiences based on the team members’ professions and preferences.

Host District Itinerary

The GSE department requires that each host district itinerary show the location and a contact person for each team member at every moment during the tour. The district must submit a complete host district itinerary to the GSE department no later than 45 days prior to the departure date; otherwise the team will not be allowed to travel.

Each host district itinerary must contain the following information:
  • Names, street addresses and contact information of each host family
  • Dates of stay with each host family
  • Schedule of all planned activities
  • Specified locations of all planned activities
  • Names and contact information of any Rotarians who will be escorting the team
  • Five (5) vocational days per team member,
  • One or two days of isolated rest after arrival ,
  • A half day mid-week to rest,
  • One weekend day to rest, and
  • Two days of mid-tour rest.
  • Approval of the sponsor district
